Band Parent Council By-Laws & Coordinator Definitions 

Who is the band parent council?

We are a group of band parents who feed the students during marching band season, create marching band show props, coordinate fundraisers, help band directors as needed, and much more. 

High-level timeline

May-July

  • Order band wear, marching band show shirt, band parent items. 
  • Marching band students wear band wear underneath the uniforms during the season. This is also the only time parents can order the shirts associated with the year’s marching band show. As a way to show their support, parents/grandparents wear the show shirts during competitions. And, the band parent items can be purchased during this time so that they can be worn at various functions throughout the year. 

August 

  • Marching band exhibition, food truck fundraiser, band parent mixer.

September

  • We will request volunteers to help sort band wear. 
  • We will also request volunteers and donations to feed marching band & 8th graders before first football game. 

October 

  • We will feed the students one meal during at each marching band competition. We will reach out for donations prior to each competition.

December

  • Christmas concert: We will request cookie donations from parents. Cookies are served
    after the concert. 
  • Frostbite Fest. Marching band performs the show for the first time in one month. We feed the band breakfast, and will request volunteers to help serve.

April 

  • Solo/Ensemble Festival. WRHS hosts the statewide solo competition. Band parent council runs concession stand to raise funds to help feed the band (during the next marching season). We will request donations and volunteers to work the concession stand. 

May 

  • Spring concert and food truck fundraiser. Awards banquet. Band parent council funds a few student scholarships and the checks are passed out during the banquet. 

Concession Stands: Band students have the opportunity to work at least four concession stands during first semester and four during spring semester. Band will earn 25% of the profits, then the money is split between the student workers. Those funds go toward the student’s band trip.  The band parent council will use the WARU Band Facebook page to request donations and volunteers. The band directors will provide details and weekly schedule on Slack.

We encourage parent participation! Band is a blast, and the kids really like us to be involved. Please feel free to call anyone listed above if you have any questions or would like to let us know that you'll help this year. We're already looking forward to the fall with all the excitement and fun that band offers the kids, and we're looking forward to working together to make WRHS Band the best it's ever been!

 

Additional Responsibilities - Trip Positions

Lead Chaperone(s)

  • To be determined for each trip. Coordinates volunteer activities for the day/weekend/trip. Also has a handheld radio for emergency communication.

Videographer/Photographer

  • In the event recording a performance is allowed, we need our camera and tripod available.

Meal Money

  • Parent Treasurer prior to leaving and during trip if necessary

Food Service

  • TBD: Some trips will have meals prepared by parents; others will involve monitoring behavior/etc. at an eating establishment. Major trips will involve passing out breakfast foods each morning after wake-up.

Hall Monitors for overnight trips

  • TBD: Supervise the halls and maintain security for our areas of the hotel. Tape patrol, lights out, front desk contact and act as primary sponsor during the overnight hours.

Bus Monitors

  • All adults on each bus: gender separation at night; hand checks; trash watch; noise level/language; limit movement on bus; monitor movies, body sprays, and flash photos

Attendance Takers

  • Supervise student bus captains taking attendance to insure accuracy or assume responsibility for task

Room Sponsors for overnight trips

  • Responsible for a group of 4-5 students for duration of trip, room checks, wake-up, roll-call (throughout trip), breakfast items to room (if necessary)

Uniforms/Accessories Coordinators

  • Maintain extra socks, shoes, pins, gloves, hats, polish instruments prior to performances; inspect uniforms/shoes/instruments b/f go time. Also point A-B movers.

Equipment Coordinators

  • Loading/unloading buses/truck/trailer, point A-B movers. Will also have tools boxes accessible.
  • Responsible for ASSISTING student equipment mgrs until time for them to be with the band. At that point, adult sponsors TAKE OVER and students go with band. NO EXCEPTIONS.

First Aid - Medication

  • Coordinate qualified volunteers to provide first aid support for the band members.  
  • Working knowledge of first aid and medical conditions such as asthma and diabetes required.
  • Maintain basic first aid supplies including bandages, ibuprofen and glucotabs for the band members.
  • Coordinate medically trained volunteers to travel with the first aid supplies.
  • Be aware of student medical conditions and alert for issues. Communicate with directors to bench band members if medically necessary.
  • Collect and hold the medical history and release forms.
  • Coordinate qualified volunteers to collect and distribute controlled medication.

Drama Specialist

  • TBD: You are the go to person for personal and random issues that pop up. Basically, you'll triage for Ms. Sauls, Mr. Exum and Mr. Chaffee so we can focus on the group.

Warm Bodies

  • Always be prepared to help with any situation. If you're traveling on the buses with the band, your first responsibility will be assisting the band. If that is not agreeable to you, you will need to find an alternative mode of transportation to band performances.
